The essentials

For an arrival, share the flight number and distinguish landing from being ready for pickup. For a departure, work backwards from your airline's requirements and allow for the road journey and border procedures. A map's driving estimate is not the duration of the whole cross-border trip.

Who this guide is for

Use it for journeys between Hong Kong airport and Mainland China, or when crossing the border to catch a flight. It is particularly useful for groups, families and travellers who need more time to walk or handle luggage.

First identify whether you need an arrival pickup or departure drop-off. The flight time, the passenger-ready time and the vehicle departure time are different milestones.

Arrival pickup: share the flight, not just a time

Send the flight number, local arrival date, origin airport and arrival airport. Be explicit about dates around midnight. After landing, report your actual progress rather than asking the car to wait at an unsuitable location while you still collect bags.

  • Before travel: flight details, local arrival date, party size, bags and final address.
  • After landing: whether arrival formalities are complete and whether luggage is still pending.
  • When ready: confirm the meeting point, reachable phone and that everyone is together.
  • If plans change: report delays, a replacement flight or a baggage problem.

Departure transfer: plan backwards from airline requirements

Check your airline's check-in, bag-drop and boarding requirements for the actual flight, then set an airport arrival target. This guide does not prescribe one fixed lead time for every flight.

  • Record the flight date, time, airport and terminal, especially around midnight.
  • Allow for road travel, border procedures, parking and unloading as separate stages.
  • State your arrival deadline and whether anyone needs extra walking time.
  • If the timing is too tight, adjust the plan instead of relying on a driver to make up lost time.

Agree on waiting, meeting and flight changes

Ask when waiting begins, how a flight delay is handled, when the meeting point will be issued and which backup contact to use. Match the confirmed vehicle and driver details before boarding; a similar-looking vehicle is not sufficient.

HONGKONGGO offers year-round, 24-hour customer support and replies within one minute. You can report a flight change at any time, but a reply does not automatically revise the allocated vehicle. Obtain an explicit update to the pickup time and meeting arrangement.

A message you can use

“I need an [arrival pickup/departure transfer] for flight [number] on local date [date], flight time [time]. The journey is [pickup address] to [destination], with [passengers] and [luggage list]. We need [child seat/assistance/other]. For departure, our airport arrival target is [time]. Please confirm meeting, waiting and flight-change arrangements.”

For a return trip, provide a separate set of details. The terminal, party size and bags may have changed, so “same journey back” can leave important gaps.

Your pre-journey checklist

  • Flight number and local date are clear.
  • The arrival-ready status or departure arrival deadline is stated.
  • Passenger numbers, bags and special requests are complete.
  • Meeting, contact, waiting and change arrangements are saved.
