Start an exhibition transfer with the full venue and dates on the invitation. Hong Kong Convention and Exhibition Centre and AsiaWorld-Expo are different destinations. Then organise flights, hotels, registration requirements and each day's journeys rather than requesting transport to a generic “Hong Kong exhibition”.
Confirm HKCEC or AsiaWorld-Expo first
HKCEC's official transport page identifies its Wan Chai waterfront location and access options. AsiaWorld-Expo presents airport connections, local transport and Greater Bay Area arrivals separately. Their itineraries are not interchangeable, and a shortened venue description can leave the destination unclear.
Check the organiser's invitation, exhibitor pass or visitor registration for the venue, hall, date and appropriate entrance. A familiar exhibition brand can have different editions or programme locations. An old invitation or an abbreviation remembered from last year is not a reliable address for this year's driver.
Visitors, exhibitors and speakers have different deadlines
Visitors may need registration or badge collection. Exhibitors can have setup and staff access requirements. Speakers may need to check in, prepare or meet an organiser before their session. Give the coordinator the arrival requirement that applies to your role, not simply the time a talk begins.
Passenger drop-off, visitor admission and freight access may also be separate. A passenger transfer does not automatically provide exhibition logistics or permission to enter a loading area. For samples, display stands or equipment, describe the items, size and quantity, then check transport, venue and border requirements separately.
Connect the airport and hotel parts
After an international arrival, allow for entry formalities, baggage collection, meeting colleagues and any need to change clothes. For a hotel stop, confirm its address, early storage arrangements and whether the vehicle waits. For a direct journey to the exhibition, resolve where the luggage will go.
From Shenzhen, Guangzhou or Dongguan, provide the actual pickup address and target arrival time. If several colleagues start in different places, consider whether one meeting point makes more sense than a sequence of pickups. Removing the need for each person to meet centrally does not always shorten the group's overall journey.
Use one clear itinerary for a multi-day visit
For each date, list the start, destination, passengers, expected ready time, contact and additional stops. A day with an airport departure, client meeting or dinner should be described separately rather than hidden under “same every day”.
Nominate a person who can authorise itinerary changes and consolidate colleagues' requests. Where meeting times are uncertain, mark them as pending and agree when to update the coordinator. That is more useful than a precise-looking time that nobody expects to keep.
- Recount passengers and luggage each day, particularly at checkout.
- Say whether a client meeting requires vehicle waiting.
- Request language or accessibility arrangements in advance, subject to confirmation.
Compare scope and amendments alongside the fare
A business transfer quote should make clear the number of journeys, waiting arrangements and treatment of parking or additional stops. If you need a particular receipt or expense-document format, ask whether it can be provided before travel.
Record the final addresses for local and cross-border legs. An enquiry receipt does not register you for an exhibition or reserve a vehicle by itself. Event access is controlled by the organiser; transport follows the confirmed itinerary. Clarifying those separate arrangements helps the team focus on the reason for the visit.
Your pre-journey checklist
- HKCEC or AsiaWorld-Expo venue, hall and dates confirmed.
- Visitor, exhibitor or speaker arrival requirements identified.
- Flights, hotel, schedule and equipment consolidated.
- Daily journeys, lead contact, waiting and change terms agreed.
